Carnegie Visual Arts Center Policies and Procedures for Rental Customers

The Carnegie Visual Arts Center welcomes you to this beautiful facility. The Historic Carnegie was built in 1904 and served as the public library in Decatur for over 70 years. The Carnegie is a public building that now serves as the area’s first art museum and education center. As a public facility, the Carnegie is available for public use as a rental facility for meetings, receptions and similar events. The Carnegie must be treated with respect for its historical significance and value to the community. The following rules are designed to insure the safety of the building and it patrons.

1. Basic rental rates for the Carnegie Visual Arts Center are as follows:

a. $500 base rental which includes set-up, first three hours of rental, and basic cleaning fees

b. Each additional hour will be billed at $75 per hour

c. A full day’s rental shall not exceed $1000.

d. Rental includes the facility, one Museum staff person on site at all times and basic cleaning of facility after the event.

e. For events exceeding 150 guests, $15 per hour will be added for additional Museum personnel.

f. Charges for excessive cleaning will be billed at $20.00 per hour and all damage repairs or replacements will be billed at actual cost to the CVAC.

To determine the actual rental cost for a specific event, prospective clients should meet well in advance of their event with the Events Coordinator/ Executive Director to determine availability of the facility, the needs of the renter and estimated costs.

2. The Carnegie Visual Arts Center staff acts in an advisory capacity.

3. Smoking is prohibited anywhere in the CVAC by City Ordinance. If Renter violates the ordinance, Renter will forfeit the rental deposit.

4. Alcoholic beverages are prohibited in the CVAC. Anyone in possession of an alcoholic beverage will be asked to leave the building and the Renter will forfeit the rental deposit.

5. A list of approved caterers is available from the Executive Director of the CVAC. A caterer of the Renter’s choice may be used upon approval of the CVAC Executive Director.

6. The Renter is responsible for any damage caused by it, its agents or employees, as well as any person attending any event held by the Renter. The Renter or its representative shall meet with the CVAC Events Coordinator the day the Renter’s event is scheduled, and will survey the property and building and will record any defacement or damages found. Representatives of both will initial notes made to the original renter’s agreement. Following the rental period the same individuals will again survey the property and building fro any damages that are deemed the responsibility of the Renter. Any such damage will be repaired by the appropriate means determined by the CVAC through a competitive bidding process except under emergency conditions at which time the most expedient means available will be utilized. Said repairs will be made at the expense of the Renter.

7. Rental of tables, chairs and catering equipment is to be handled through the CVAC unless otherwise arranged with the Events Coordinator of the CVAC. Rental charges will be added to the Renter’s final bill. Any banquet or event supplies owned by the CVAC are available for use by the renter at no additional cost.

8. Though basic cleaning is included in the rental fee, the renter is responsible for removing all personal property from the building. All trash must be bagged and removed from the building when the Renter vacates the premises unless prior arrangements have been made with the CVAC.

9. All state and municipal laws and regulations pertaining to the occupancy of buildings such as the Carnegie Visual Arts Center shall be considered a part of the rules of the CVAC and binding upon the Renter. In addition, the Renter and all personnel in attendance at all events shall comply with any direction given by fire prevention or security personnel prior to or during the course of any event.

10. The Renter agrees that there will be no discriminating in the CVAC because of race, creed or color against any patron of said events.

11. A sound system is available for the use of the Renter. If the Renter wishes to use the CVAC sound system, prior instruction on its use is required and Renter must initial and make note to the original contract stating the intended purpose of the sound system usage.

12. If the Renter intends to use the baby grand piano, a $100 tuning fee applies.

13. Renter is responsible for settling the final bill for rental fees and associated charges within ten (10) days of the end of the rental period.
